For small business

Turn job notes into clearer enquiries, estimates and customer replies

For plumbers, electricians, renovation contractors, cleaning and landscaping businesses. We help with the paperwork around the job, not with technical trade decisions.

  • Prepared and tested for you
  • Quoted after we agree the scope
  • Online, worldwide

Three workflows we can set up

  1. 1

    Job notes → job brief

    You provide
A voice or typed note after a visit
    Draft you get
A structured job brief and questions about missing measurements, access or materials
    You check
That nothing was invented or added to the scope
  2. 2

    Approved estimate → customer email

    You provide
Your approved rate sheet and the quantities you choose
    Draft you get
Clear estimate wording with scope and exclusions
    You check
    Every amount and total
  3. 3

    Records → follow-ups

    You provide
Confirmed appointment or quote status and your approved wording
    Draft you get
Appointment, quote follow-up or maintenance messages
    You check
Dates and anything you commit to

Turn site notes into a clarification request

After visiting a bathroom renovation, the owner has quick notes.

Site notes

Bathroom reno, 1st floor. Replace bath with walk-in shower. Customer wants new tiles (choosing). Old radiator — keep? Access: narrow stairs.

Clarification message

“Thanks for showing me the bathroom. To prepare your estimate, could you confirm:

1. Have you chosen the tiles, or would you like suggestions?

2. Should the existing radiator stay or be replaced?

3. Do you have the room's measurements, or shall I measure on my next visit?

Narrow stairs noted: we'll plan materials accordingly.”

Still to confirm

  • Room measurements
  • Tile choice
  • Radiator decision

What you check

  • No measurements or prices in the message
  • Every question comes from the notes

What the help adds: A job-intake template and clarification method you can use after every visit.

What we prepare for you

  • Service-area and rate reference
  • Job-intake template for visits
  • Estimate-drafting instructions
  • Follow-up message templates
  • Test cases and maintenance guide

How it's delivered

We prepare your personalised setup, then help you install and test it. Preparation happens separately; account steps that only you can do are done by you, guided, in a short handover. Any delegated access follows the tool's own permissions and the agreed scope. You never share passwords.

What it is, and isn't

The methods draft; you check and send. No automatic dispatch, pricing, safety diagnosis or calendar promises. Integration with invoicing or scheduling software is a separate scope.

Price

Prepared business setups are quoted after we agree the tasks, source material and handover. Existing live sessions keep their published prices. Pricing →

Questions

Can I use voice notes?

Yes, if your assistant transcribes them. The method then turns the transcript into a brief and questions.

Will it calculate my quotes?

It drafts wording from amounts and rates you approve. You check every figure and total; it doesn't decide prices.

Can it book jobs?

No. Your calendar stays the source of truth, and drafts never confirm a date you haven't set.

Does it work with my invoicing software?

The base setup is manual: you copy the approved text. A connection would be a separate written scope, if it's possible.

Is this worth it for a small business?

If you write similar messages every week, often. If it's rare, a single coaching session may be enough, and we'll say so.
